Multi-Tech FaxFinder Fax Router
Model FF220
The FaxFinder family of V.34 fax server
appliances allows you to receive faxes wherever you are as e-mails and
send faxes from any application that can print. The FaxFinder family
provides distributed faxing capabilities, over a WAN, from a corporate
office to small remote offices as well as to field sales people. In
addition, they provide secure, convenient faxing for LAN users offering
a high degree of privacy for both the sender and recipient. The
FaxFinder is available in a 1, 2, 4, and 8-port model for connecting
directly to an analog port of a T1/PRI equipped PBX, or in a 2-port
model (FF110) utilizing Direct Inward Dialing (DID).

The FaxFinder product consists of four upgradeable parts the
FaxFinder
Client, Multi-Tech Device Manager, FaxFinder Server, and modem firmware.
- The FaxFinder Client software runs on a
user’s Windows XP /
2000 / NT machine. OS Compatibility: Windows 2000 Windows NT
Workstation 4.0, and Windows XP All Distributions.
- The FaxFinder Terminal Services Client
software runs on a user’s Windows Terminal
Services machine. OS Compatibility: Windows 2000 Server,
Windows NT Server 4.0, and Windows 2003.
- The Multi-Tech Device Manager software
runs on a user’s Windows XP /
2000 / NT machine.
- The FaxFinder Server firmware that
implements the fax server functionality of the Fax Finder.
- The modem firmware on the modems of the
FaxFinder server.
- The
FF100
has one MT5634SMI POTS
modem module.
- The
FF200
has two MT5634SMI POTS
modem modules.
- The
FF120
has one MT5634SMI POTS
modem modules.
- The
FF220
has two MT5634SMI POTS
modem modules.
- The
FF420
has four MT5634SMI POTS
modem modules.
- The
FF820
has eight MT5634SMI POTS
modem modules.
- The
FF110
has two modems in it a MT5634ZBA-DID
modem and a MT5634SMI POTS
modem. The DID modem is connected to the DID port for inbound faxing and
the POTS modem is a loop-start inbound / outbound fax port modem
module. Each of these modem need different firmware.
If the Multi-Tech Device Manager has not been installed,
install it first. When updating to
the latest software / firmware levels, it is best to update the Device
Manager software, then modem firmware,
followed by the FaxFinder firmware, and the Client software.

To upgrade
the Multi-Tech Device Manager
- Exit the
Multi-Tech Device Manager
- Run the mt-device-manager_x_xx_xx.exe
(where x_xx_xx is the latest version) by double clicking on it.
- Follow
the on screen instructions to complete the update.
To update the modem
firmware, use the Update mechanism within the Multi-Tech
Device Manager software:
- Open the
Multi-Tech Device Manager Software.
- Select
the Device Status tab.
- Right
click on the FaxFinder listed whose modem’s you want to
update and select the “update” menu item.
- The
Update window will appear. Select the modem you wish to
update.
- Enter
the name of the firmware file you wish to use to update the modem (or
browse to it). The SMI modem module firmware is of the form: DWccnnnn.hex.
The cc is for the country code, and nnnn is for the version
number.
- After
the filename is entered, click the “Start Update”
button.
- The
update will take about two-three minutes. The status box will display
informational messages and the progress bar will show the progress of
the flash update procedure.
- When it
is done, click the close box.
To update the FaxFinder
Server firmware:
- Save the
Server
Configuration File as detailed below.
- Open the
Multi-Tech Device Manager Software.
- Select
the Device Status tab.
- Right
click on the FaxFinder you want to update and select the
“update” menu item.
- The
Update window will appear. Select FaxFinder firmware.
- Enter
the name of the firmware file you wish to use to update the FaxFinder
(or browse to it). It will be of the form FF220_n_nn.bin
where n_nn is the version of the firmware.
- Click
the “Start Update” button.
- The
update will take about a minute. The status box will display
informational messages that show the progress of the
procedure.
- When it
is done, click the close box.
To update the FaxFinder
Client software:
- Quit the
FaxFinder client software.
- Run the ffclient_x_xx_xx.exe
(where x_xx_xx is the latest version) by double clicking on
it.
- Or Run ffclientts_x_xx_xx.exe
for the Terminal Services Version of the FaxFinder Client.
- Follow
the on screen instructions to complete the update.
To
save the Server Configuration File:
- Open the
Multi-Tech Device Manager Software.
- Select
the Device Status tab.
- Right
click on the FaxFinder you want to update and select the
“save configuration” menu item.

The Save Configuration
window will appear. It
will point you to a directory to save the Server Configuration file.

- Fix resolution for incoming faxes that wrongly specify vertical resolution in english units instead of metric.
- Archiving to share fix when inbound fax count reaches 9999
- Turn off &F in modem init to keep the modem off hook until it is ready
- When in Mode Code, if the entire mode code was not received, mefax
would abandon the modem and leave the modem off hook indefinitely (*DW255).
This would happen when - after receiving a DTMF# it would then receive a DID:T
(which it wasn't expecting). Now it just goes to CONNECT_STATE when it gets
the DID:(anything) so it will receive the fax.

Fixes
- DTMF routing of more than 9 digits failed to go to the correct person in the
phone book. It was routed to the POTS modem it was received on.
- An
extension with leading 0s (0320) does not route correctly. The leading
0 was stripped from the number when searching the phone book for the
extension.
- Auto-Discovery could not default a user id and password to factory defaults if
the userid had been changed to anything other than admin.
- In the Administration: Time Configuration Page, If the time zone is UK
(GMT offset 0) and DST is unchecked, the FaxFinder will error and
communication with the FaxFinder is lost.
- File Sharing was updated to resolve problems with connecting to a Windows 2003 server.
- In the Modem Configuration page, A User Defined Routing string set to #$t1#$x? did not parse digits correctly.
- Administration:
IP Configuration page: If a name server was incorrect, or it takes more
than 5 seconds to resolve a name with the name server, an orphaned
socket is created. Over time this will cause the FaxFinder to not be
able to send email if the email server is a dns name.
- An
attempt to send Email to a user with: A blank email address; An invalid
email addresses; Or an email addresses rejected by the email server
will cause the email to be queued indefinitely. Any email that is
rejected by the SMTP email server with a 500 error will be forwarded to
the administrator.

- Field Validation was added for the Hostname field in the Administration: IP Configuration page.
- Current Status Page: Email Status Improved SMTP Error Logging. Several more errors were added along with the
last line received from the email server, which usually shows the exact error
received.
- Current Status Page: Share Status A field which shows the last
error that occurred when saving a received fax on the Inbound Fax
Share is displayed.
- Shared
Resources: Inbound Fax Backup We now attempt to write a file to the
Inbound Fax Share to ensure the FaxFinder has write permissions to the
drive.
- On the Administration SMTP Configuration page, a button was added to allow an administrator to delete the
current pending email from the email queue.

Fixes
- The Server could SEGFAULT, which would cause a MW Reboot
email to be sent to the administrator.This was caused by a received fax
with mmr compression.
- The sender did not receive an indication that a send fax
failed, if the number of re-tries
was set greater than one in the FaxFinder Client.
- When a received fax is over 80 pages, a pdf was generated
that was invalid after the 80th page.
- We now allow forward slashes or back slashes in the Share
Location field of the Shared Resources page.
- When a large fax is split into more than one email, only
the last pages sent would be copied
to the share drive.
- A userid and password was required for the Share Drive
Location.
- Some PBX’s send variable numbers of digits to the
modem during a received fax. Calls received with a phone number less
than Max Digits would not be found in the phone book. (i. e. 12345T
would not match the 12345 extension in the Phone Book.
- When there are users in the phone book with duplicate phone
numbers, the Send Fax Receipt always goes to the first user listed in
the phone book.

- Administration:SMTP Configuration
- An email address has been added for the FaxFinder Server. Emails will now be sent
using Hostname as the from name and this email address as the from email address.
This allows an administrator to put a “no reply” email address in emails.
Also, some spam filters do not allow the from email and to email to be the same address
(i. e. from the admin email address to the admin email address).
- A redundant email server has been added. The FaxFinder Server will automatically
switch to the backup email server if an SMTP error occurs.
- The Failed Fax Administrator Email check box has been added. This allows an administrator
to decide whether to receive email of failed faxes.
- Shared Resources
- Received Faxes copied to the share drive will now be named
recipient@domain_DAY_MON_YEAR_HH_MM_SS_JOBNUMBER-PAGENUMBER.ext.

display properly when the Update buton was clicked.

- Administration Page
- Time Configuration: Added the ability
to set the Real Time Clock via the FaxFinder web interface. Both the
date and time can be adjusted. Any updates to RTC settings are also
made to system time. On boot, system time will be set to RTC time.
- Setting the Real Time Clock
- The real time clock information is displayed on the
Administration page under the Time Configuration section. When the page
loads the real time clock is read and the information is displayed in
the following fields.
- Time (24 hr) hh:mm:ss
- Date mm/dd/yyyy
- If the information diplayed is incorrect, first check to
see that the Time Zone is set correctly for your local time zone. To
set the clock use 24 hour local time.
- IP Configuration: A Hostname field was
added. Some email servers require a FQDN in order to accept SMTP email.
The hostname may be set on the Administration page under the IP
Configuration section. If set, this value will be sent to the SMTP
server when sending mail via the EHLO command. If not set, the value
defaults the model number of the FaxFinder.
- Shared Resources Setup page: We added
functionality
to connect to a network share. Currently, all received faxes
are
simply copied to an external server. No attempt is made to ensure that
a copy is made to the share, and there is not any notification whether
the FaxFinder can successfully connect to the share. More shared
resource functionality will be added in a later release.
- How to Store Incoming Faxes to a Network Share Directory
- Storage Share Directory: This will be the share directory
where all incoming faxes will be stored. It should have the form
//Servername/ShareDirectoryName or //ServerIPAddress/ShareDirectoryName.
- Examples //donslinux/samba //192.168.52.70/samba
//dgreiveldinger/Share or //192.168.8.172/Share
- Username: This will hold the username for an account with
write access to the share directory.
- Password: This will hold the password for an account with
write access to the share directory.
- The faxfinder may be given its own account with the share
directory.
- The Remote Fax ID is now used as the from name for the
received fax email.
- The Modem Configuration Page has been re-designed.
- Modem Configuration Page
- The Modem Configuration page has been re-designed to
improve the look
- A User Defineable Mode Code Field has been added to the
Modem Configuration Page. When you select a mode code definition via
the Routing drop down tab, the Routing
Definition is displayed in the routing definition edit box.
You can then click Description to see how the DTMF
digits are masked to retrieve the extension number from the DTMF digits
received from the PBX during a call. Click Key to
see how to define a custom mode code mask.

Fixes
- Faxes received as PDFs with 25 or more pages could cause
the Server to get into a state where it can not be accesed via the web
interface. Also PDF Faxes larger than 25 pages may not be delivered.
- Debugging was left on in the tftp process. This would
create a rather large tftplog.txt file while flashing modems.

- The Email Threshold was off by a factor of 10. It
is now displayed and set in K bytes. The setting is used to
split faxes if the email server has an attachment size limit.
- The Email Threshold defaulted to 0, which caused
Administration settings to not be saved, if the threshold was not set.
- Changing the SMTP Port to anything other than port 25 did
not work.
- The Current Status page will now auto update correctly.
- backslashes embedded in strings caused the config file to
be corrupted. We now allow embedded backslashes in strings (i.e. user\name@yoursite.com)
- Faxes of more than one page could not be opened by Corel
Draw or Photoshop.
- Modems would stop answering calls if the ethernet cable was
unplugged. Modems will answer calls until the drive fills
with received faxes. They then will be busied until the
server is rebooted, or received faxes can be delivered.
- The Fax Log Email Log Threshold and Log History settings
would revert to factory defaults when the server is rebooted.
- Logout menu would log everyone out of web administration.

- If you leave the SMTP Server Address blank in the
Administration: SMTP Configuration Page, No Emails will be queued.
- The IP Address was removed from sent emails. It
was deemed redundant.
